Grantease - simplify,
speed up and improve
the grant managment
process
Complicated times demand great leaders. Here's an overview of
traits and practices required to succeed as a leader today and a look
at the factory model that can help aspiring managers ascend.
Why Grantease ?
In today's dynamic and competitive environment, non-governmental organizations and agencies encounter various challenges throughout the project cycle. Challenges such as inadequate tools, process complexity, limited transparency, and the need for professional support often hinder effective project management. Statistical data indicate that a substantial number of projects fail due to poor grant management, with nearly 30% of grants going unused or misallocated due to administrative obstacles and inefficient implementation. These challenges not only delay the achievement of results but also increase costs, potentially leading to donor withdrawal and diminished project impacts.
Grantease solutions
Deal and agreement with client
Our first meeting is an opportunity to lay the foundation for a successful partnership. During this phase, we ensure that all aspects of our collaboration are clearly defined and created for your specific needs.
Preparation and Publication of Public Call
Are you tired of drafting complex and time-consuming public calls that fail to deliver the desired results? Preparing a public call can be challenging due to unclear guidelines, complicated instructions, difficulties in attracting qualified applicants, the need to align legal regulations with donor rules and procedures, a lack of formal statistical data, or limited time and resources.
Selection Process
When you think of an efficient process for project proposal submission and evaluation, think of the Grantease software – a comprehensive solution that simplifies every step. The selection process is straightforward and consists of two integrated key phases.
Capacity / Pre-Award Assessment (NGOs) (KULT/ROK®) – Capacity assessment
One of the most important qualities of a non-governmental organization is transparency in fund management and alignment of activities with its mission. Continuous improvement and adaptability are not just recommended – they are essential for success and sustainability.
Contracting
The perfect contract at your fingertips – Obtain a complete and legally sound agreement that covers all aspects of your operations.
Post-Award Informative Event (Online or In-person)
When it comes to grant allocation, success lies in transparent communication with potential applicants. If you are a grant-awarding organization, we understand how important it is to make the application process as simple and efficient as possible for everyone involved. That is why we offer a modern solution: an informative event, which can be held either online or in person.
Financial and Narrative Reporting
Financial and narrative reporting is essential to the success of any grant-funded program. Transparency and accuracy in reporting not only give donors insight into how their funds are used but also ensure a balance between goals achieved and resources spent.
Monitoring of Achieving Indicators (SpectoQ)
Monitoring and evaluation (M&E) are indispensable tools for organizations seeking to demonstrate their value to key stakeholders, including donors, beneficiaries, and the broader community. However, measuring changes within projects can be challenging – especially when it comes to identifying target populations and tracking progress over time.
Monitoring Visits
Our monitoring visit service is designed to ensure that all projects and activities align with the set goals, conditions, and standards of your programs. Through this service, we work either with you or independently to track implementation progress, assess service quality, and ensure proper resource utilization.
Capacity Building (KULT/ROK®)
In the non-governmental sector, organizations often face challenges that can limit their growth and efficiency – including lack of resources, expertise, or strategic planning. Capacity building is a crucial element for ensuring the long-term sustainability of organizations, allowing them to adapt to change, optimize internal processes, and build a strong reputation within their communities.
Closeout of Contracts
As the project cycle nears its end, it is essential that the contract closeout process is conducted efficiently, professionally, and thoroughly. Issues such as unfulfilled obligations, unclear reporting, or unresolved financial matters can negatively impact your organization’s reputation and future collaboration opportunities.

Testimonials
I would rate the process we went through while writing the project application very positively. During the writing process, there were challenges in navigating the online application, but the team was always available and ready to facilitate the entire process. Their precision and dedication to collaborating with applicants resulted in a ‘cleanly’ completed application, defining even the smallest processes and preventing misunderstandings or confusion. Going through this process was worthwhile because, by the end of the project, the final report was straightforward, with no ambiguities.
We would like to thank the Institute for Youth Development KULT for the opportunities and high-quality training that have enabled us to enhance our knowledge and skills. Thanks to these educational programs, we have significantly strengthened our capacities and improved the work of our organization. Your support and expertise contribute to our professional development, and each training session provides new insights that we apply directly in our daily work. We look forward to continuing our collaboration and exploring new learning and development opportunities.
Thank you very much. After your assessment, we “younger” people in the organization became active to fulfill the shortcomings we pointed out to them in their work and actions. We want to bring the organization and its structure and work to a higher, more serious level. Thank you very much for everything, because you helped us to become aware of what we can do better. Thank you for the assessment and for doing the analysis and strategy, because such an analysis costs thousands of marks, and you did it for us as part of the project.
After training, I truly believe that we will significantly improve our approach to organizational sustainability. Knowledge and practical advice will empower us to address challenges more effectively, plan future activities more efficiently, and make better strategic decisions. Additionally, I believe that communication and collaboration within our team will improve thanks to the innovative approaches and techniques we have learned. Overall, I expect that our work will become more organized, productive, and sustainable in the long run.
Thank you for the submitted final report on the implementation of recommendations for strengthening organizational capacities and congratulations. It was a pleasure to read the content of the report and the conclusion, which additionally confirms to us that our management, working conditions and organization, as well as the organizational culture, are well established. We appreciate your objective evaluations and this type of support for the development of the organization.
When it comes to monitoring and evaluation, my prior knowledge was at the project level, and this training allowed me to put the pieces together and create a mosaic of knowledge that will be very useful in developing a MEL strategy at the organizational level, which was the reason I applied for this training. The training met all my expectations, and after three days, I left feeling perfectly structured in my ideas and fully equipped to apply the acquired knowledge in practice.
